App Privacy Policy

Effective August 17, 2026

The Harbor Anesthesia app is a private operational and clinical tool for authorized Harbor Anesthesia personnel and approved partner offices. It is not an emergency service and is not intended for public self-diagnosis or treatment.

Information we collect

Depending on your role and the work you perform, the app may process:

The app does not use information for cross-app tracking or third-party advertising. It does not request microphone, contacts, location, HealthKit, or advertising-identifier access.

How we use information

We use information to authenticate authorized users, schedule and coordinate services, support patient care, create and preserve required records, process documents, administer billing, provide support, maintain audit trails, prevent unauthorized access, and improve the reliability of the service.

Camera, photos, and files

The app requests camera access only when you choose to photograph paperwork or an anesthetic record. File and photo selection occurs only when you start an upload. Selected content is sent to Harbor Anesthesia's systems for the operational or clinical purpose shown in the app. Microphone access is disabled.

Service providers and disclosures

We may disclose information to approved service providers that support hosting, secure storage, email delivery, authentication, payments, document text extraction, and clinical-document processing. These providers may process information only to provide services to Harbor Anesthesia and are subject to contractual and legal safeguards appropriate to the information involved. We may also disclose information when required by law, to protect patients or users, or in connection with a lawful business transaction.

We do not sell personal information and do not use patient or medical information for advertising or marketing data mining.

Security

We use role-based access, encrypted network connections, secure on-device credential storage, multi-factor authentication for privileged accounts, short-lived sessions, audit logging, and other administrative and technical safeguards. No method of electronic storage or transmission can be guaranteed to be completely secure.

Retention and deletion

Temporary patient paperwork is generally scheduled for deletion three days after the appointment or three days after the patient is moved to the archive, whichever occurs first, once document processing and summarization are complete. The patient summary and structured patient information remain available. Completed anesthetic records are retained for at least seven years, or longer when required by applicable law, professional obligations, a legal hold, or patient-safety needs. Other information is retained only as long as needed for the purposes described above and applicable legal or business requirements.

Authorized users may ask their Harbor Anesthesia administrator to close or delete an app account. You may also contact us using the address below to request access, correction, or deletion. Some clinical, billing, security, or audit information cannot be deleted immediately when law or professional obligations require continued retention.

Children's information

The app is for authorized adult workforce users. It may contain pediatric patient information when needed to provide anesthesia services, but it is not directed to children and children do not create app accounts.

Your responsibilities

Use the app only for authorized Harbor Anesthesia work. Do not share credentials, access records without a work-related need, or include patient-identifying information in general support or problem reports.

Changes to this policy

We may update this policy as the app or applicable requirements change. The effective date above identifies the current version.
